"How many pages is 3,000 words?" "The essay must be 2 to 3 pages — how many words is that?" "Does the translator count characters with or without spaces?" These questions come from students, translators, editors and lawyers — and they all share the same root: a page is not a fixed amount of text.
This guide gives you a practical conversion table, explains the different definitions of a "page", and shows how to get the exact numbers in seconds.
Words per page: the rule of thumb
With the most common academic format — 12-point font such as Times New Roman or Arial, 1-inch (2.5 cm) margins — a full page holds roughly:
- about 500 words single-spaced;
- about 250–300 words double-spaced.
Larger fonts, wider margins, headings, lists and paragraph breaks all reduce the count; dense legal or technical text with long words also changes it. Treat these numbers as estimates, not rules.
Characters with or without spaces: what is the difference?
- With spaces: counts letters, numbers, punctuation and the spaces between words;
- Without spaces: counts only visible characters.
The difference is significant — English text with spaces has roughly 15–20% more characters. In English, the average is around 6 characters per word including the space, and about 5 without it. Translators and agencies that price by characters must always state which rule they use.
The translation "standard page"
In much of Europe and in many translation markets, work is priced per standard page rather than per word. Its size depends on the country:
| Market | Typical standard page |
|---|---|
| Germany (Normseite) | 1,500 characters with spaces |
| Russia and many Eastern European markets | 1,800 characters with spaces |
| Spain (sworn translation, traditional) | about 2,100 characters with spaces |
| Brazil (lauda) | 1,000 characters without spaces, or 1,250 with spaces |
In the UK, the US and most English-speaking markets, translation is usually priced per word of the source text. For more on billing by length, see how to calculate legal fees by word count.
Conversion table (estimates)
Using about 6 characters per word including spaces:
| Words | Single-spaced pages | Double-spaced pages | Characters with spaces (≈) | Standard pages of 1,800 |
|---|---|---|---|---|
| 500 | 1 | 2 | 3,000 | 1.7 |
| 1,000 | 2 | 4 | 6,000 | 3.3 |
| 2,000 | 4 | 7–8 | 12,000 | 6.7 |
| 3,000 | 6 | 10–12 | 18,000 | 10 |
| 5,000 | 10 | 17–20 | 30,000 | 16.7 |
| 10,000 | 20 | 34–40 | 60,000 | 33.3 |
So 3,000 words is about 6 pages single-spaced or 10–12 pages double-spaced, roughly 18,000 characters with spaces, or about 10 standard pages of 1,800 characters.
Do references and footnotes count?
It depends on who set the limit. In academic work, word limits most often apply to the main text, excluding the bibliography, title page and appendices — but that must come from your instructor's or journal's rules. In translation, everything that is translated counts, footnotes and references included. When in doubt, count them separately.
"Two to three pages": how many words is that?
When an assignment asks for "2–3 pages" without a word count, the safe reading is pages in the requested format (usually double-spaced for essays). Double-spaced, that is around 500 to 900 words; single-spaced, around 1,000 to 1,500. If the instructions give a word count, the word count wins. When in doubt, ask — it is the cheapest answer.
How to count words and pages in seconds
Word shows counts under Review › Word Count, but you still have to do the maths for standard pages. RoseLab's word and character counter does it all at once:
- Drop the Word (.docx) or PDF file — or paste the text;
- See instantly the characters with and without spaces, words and paragraphs;
- Choose the standard page size (the tool calculates on characters with spaces, with presets from 1,000 to 2,100 and a field for a custom size) and see the total, with the exact value next to the rounded one;
- If your rule is without spaces, take the "characters without spaces" total and divide it by the page size.
Counting happens in your browser — the document is never uploaded to a server.
Common counting mistakes
- Counting PDF pages instead of words or characters: a 5-page PDF can hold 1,000 words or 4,000;
- Losing footnotes and text boxes when copying the text into another program;
- Mixing rules: counting with spaces and dividing by a size defined without spaces;
- Counting a scanned PDF: it is an image with no text — the result is zero. You need the original file or a PDF with selectable text.
Frequently asked questions
How many words are on one page? About 500 single-spaced or 250–300 double-spaced, with a 12-point font and standard margins.
How many pages is 1,000 words? About 2 pages single-spaced or 4 double-spaced.
How do I count characters with and without spaces? Count the characters using the required rule and divide by the page size. Example: 18,000 characters with spaces ÷ 1,800 = 10 standard pages.
Can I count the words in a PDF? Yes, if the PDF has selectable text. Scanned PDFs need OCR in another program first.
